Overview

UpaMate ("we", "our", "the platform") is committed to protecting the privacy and security of personal information collected from landlords and tenants in compliance with the Data Privacy Act of 2012 (R.A. 10173) and the implementing rules and regulations of the National Privacy Commission (NPC) of the Philippines.

Data We Collect Landlords & Tenants

We collect and process the following personal information:

Full name, date of birth, and government-issued ID details
Contact information (email address, mobile number, home address)
Property details, unit assignments, and lease agreement records
Billing records, payment history, and outstanding balances
Emergency contact information
Login credentials (stored in encrypted form)
Activity logs and session data for security purposes

Purpose of Processing

Your personal information is collected solely for the following purposes:

Managing property and lease agreements between landlords and tenants
Processing rental payments and generating billing statements
Communicating important notices, updates, and reminders
Resolving disputes and maintaining tenancy records
Complying with legal and regulatory obligations
Improving platform features and user experience

How We Protect Your Data

We implement appropriate technical and organizational security measures to protect your personal data against unauthorized access, disclosure, alteration, or destruction. Access is restricted to authorized personnel only and is governed by strict confidentiality agreements.

Data Sharing

We do not sell, trade, or rent your personal information to third parties. Data may be shared only in the following limited circumstances:

With the landlord or tenant directly involved in the same lease agreement
With government authorities when required by law or court order
With trusted service providers acting on our behalf (e.g., payment processors), bound by confidentiality obligations

Your Rights Under R.A. 10173

As a data subject, you have the following rights:

Right to be informed — know what data we collect and why
Right to access — request a copy of your personal data
Right to correction — have inaccurate data rectified
Right to erasure — request deletion of your data where applicable
Right to object — object to certain types of processing
Right to data portability — receive your data in a usable format
Right to lodge a complaint — file a complaint with the NPC at complaints@privacy.gov.ph

Retention Period

Personal data is retained only for as long as necessary to fulfill the purposes stated above, or as required by applicable law. Lease records and financial data are retained for a minimum of five (5) years in accordance with accounting and legal requirements.
